Find All Contacts for a Member Account

👥 Need to see all family members? Get a complete view of everyone associated with a member account.

  1. Search for account → 2. Open Relationships tab → 3. View all contacts and relationships

What you'll accomplish: Get a complete view of all contacts, family members, and relationships associated with any member account in under 2 minutes.

🚀 Quickstart

  1. Search for the member account using global search
  2. Open the account and click the Relationships tab
  3. Click "View All" on the Contacts related list for complete details

📋 Prerequisites Checklist
  • You have access to view member accounts
  • Relationships tab is visible on account records
  • You have permissions to view contact information
  • Account exists and has associated contacts

📘 Detailed Instructions

Step 1: Navigate to Member Account

  1. Click the Global Search bar at the top of Salesforce
  2. Type the member's name, account name, or any identifying information
  3. Select the correct account from search results
  4. Click to open the account record

Step 2: Access Relationship Information

  1. Navigate to the Relationships tab on the account
  2. Locate the Contacts related list section
What You'll See

The Relationships tab shows all contacts connected to this account, including:

  • Primary contacts - Main account holders
  • Related contacts - Family members, spouses, children
  • Affiliated contacts - Emergency contacts, references
  • Relationship types - How each person is connected

Step 3: View Complete Contact List

Quick View (Default):

  • Shows the first few contacts with basic information
  • Displays relationship type and contact details
  • Good for quick reference and basic information

Complete View:

  1. Click "View All" on the Contacts related list
  2. Review all contacts with full details including:
👤 Contact Information Available

Basic Information:

  • Full name and contact details
  • Relationship type to account
  • Email addresses and phone numbers
  • Mailing addresses

Relationship Details:

  • Primary account holder status
  • Family member roles (spouse, child, parent)
  • Emergency contact designations
  • Communication preferences

Account Connections:

  • Multiple account associations
  • Billing and communication responsibilities
  • Permission levels and access rights

Step 4: Understanding Relationship Types

Common Relationship Types:

  • Account Holder - Primary member or decision maker
  • Spouse/Partner - Married or domestic partner
  • Child - Minor or adult children
  • Parent - Parent of primary account holder
  • Emergency Contact - Designated emergency contact person
  • Other Family - Extended family members
  • Affiliated - Non-family relationships (guardians, etc.)

✅ How to Know It Worked

Success Indicators:

  • ✅ Contacts list shows all expected family members
  • ✅ Relationship types are clearly displayed
  • ✅ Contact information is current and complete
  • ✅ Can click through to individual contact records

What to verify:

  • Complete family - All family members are listed
  • Current information - Contact details are up to date
  • Proper relationships - Relationship types are accurate
  • Communication preferences - Email/phone preferences are set

🆘 Troubleshooting

❌ Cannot Find Relationships Tab

Problem: Relationships tab not visible on account record

Solutions:

  • ✅ Verify you're on an Account record (not Contact)
  • ✅ Check that Relationships tab is added to page layout
  • ✅ Confirm your profile has access to relationship features
  • ✅ Ask admin to verify NPSP configuration and layout setup
❌ Expected Contacts Missing

Problem: Family members you expect to see are not listed

Investigation Steps:

  • Navigate to missing contact directly and check their account association
  • Verify relationship records exist and are properly configured
  • Check contact record for multiple account associations
  • Review sharing rules and data visibility permissions
❌ Contact Information Outdated

Problem: Contact details are incorrect or outdated

Solutions:

  • Click on contact name to open their record for editing
  • Update contact information directly on contact record
  • Verify mailing address settings and preferences
  • Check for duplicate contacts that might be causing confusion
❌ Relationship Types Incorrect

Problem: Relationships show wrong types or missing information

Solutions:

  • Edit relationship records to correct types
  • Check NPSP relationship settings for automatic relationship creation
  • Verify reciprocal relationships are properly configured
