Create a Billing Campaign

Quick Start

🚀 Ready to bill multiple members? Follow these 6 steps, then see detailed instructions below.

What you'll accomplish: Set up a billing campaign to automatically send invoices to multiple members for dues, fees, or special assessments in about 15 minutes.

🚀 Quickstart

  1. Navigate to the Campaigns tab and create new campaign
  2. Select "Billing" campaign type and set fiscal year
  3. Configure opportunity record type and activate campaign
  4. Add charge templates for each fee or assessment
  5. Add campaign members (accounts to be billed)
  6. Launch billing wizard to generate invoices

📋 Prerequisites Checklist
  • Access to Campaigns tab and creation permissions
  • General Accounting Units (GAUs) are configured and active
  • Member accounts exist in the system
  • You know the billing amounts and fee types
  • Appropriate opportunity record types are available
  • You understand your organization's fiscal year settings

Step 1: Create the Campaign

  1. Navigate to the Campaigns tab in Salesforce
  2. Click New to create a new campaign
  3. Select Billing as the Campaign type
  4. Enter a descriptive campaign name (e.g., "Annual Membership Dues 2025-2026")
  5. Choose campaign type (typically "Standard")
  6. Select the appropriate Fiscal Year
  7. Choose Opportunity Record Type for generated invoices
  8. Click Save to create the campaign

Step 2: Configure Campaign Details (Optional)

  1. Add Description - Enter a clear description for future reference
  2. Activate Campaign - Check the "Active" box to enable the campaign
  3. Click Save to apply changes

Step 3: Add Charge Templates

What are Charge Templates?

Charge templates define the fees that will be applied to each member. Each template specifies a General Accounting Unit (GAU), description, and amount.

  1. Scroll to the Charge Template related list
  2. Click New to create a billing item
💰 Example Charge Templates

Membership Dues:

  • GAU: Annual Membership Fee
  • Description: Annual Membership Dues 2025-2026
  • Amount: 500

Security Fee:

  • GAU: Security Deposit
  • Description: Security Fee for FY 2025-2026
  • Amount: 150

Building Fee:

  • GAU: Building Fund
  • Description: Building Maintenance Fee 2025-2026
  • Amount: 250

For each charge template:

  1. Select a General Accounting Unit (GAU)
  2. Enter a clear Description
  3. Specify the Amount (in cents: 500 = $5.00)
  4. Click Save
  5. Repeat for additional charges

Step 4: Add Campaign Members

Important

Only accounts added as campaign members will receive billing from this campaign.

  1. Navigate to the Campaign Members related list
  2. Click Add Contacts or Add Leads
  3. Use filters to find the members you want to bill
  4. Select relevant individuals or accounts
  5. Click Next, then Submit to add them to the campaign

Step 5: Launch Billing Process

  1. Open the Billing Wizard from the campaign
  2. Follow the wizard steps to generate invoices
  3. Review and confirm billing before finalizing

✅ How to Know It Worked

Success Indicators:

  • ✅ Campaign appears in Campaigns list with "Billing" type
  • ✅ Charge templates are visible in related list with correct amounts
  • ✅ Campaign members show in related list
  • ✅ Billing Wizard is accessible from campaign record
  • ✅ Campaign status shows as "Active" (if activated)

Next Steps:

  • Launch the Billing Wizard to generate invoices
  • Review generated opportunities and invoices
  • Monitor campaign statistics and member responses

🆘 Troubleshooting

❌ GAU Values Not Available

Problem: Cannot find General Accounting Units in dropdown

Solutions:

  • ✅ Verify GAUs are created and active in your org
  • ✅ Check you have permission to view GAU records
  • ✅ Ensure GAUs are configured for the correct fiscal year
  • ✅ Ask admin to verify GAU record type visibility
❌ Missing Campaign Types

Problem: "Billing" campaign type not available

Solutions:

  • ✅ Check campaign record type permissions
  • ✅ Verify campaign type picklist values are active
  • ✅ Ensure you have create permissions for campaign object
  • ✅ Contact admin about org-specific campaign configuration
❌ Cannot Add Campaign Members

Problem: "Add Contacts" or "Add Leads" buttons not working

Solutions:

  • ✅ Verify accounts/contacts exist in the system
  • ✅ Check you have permissions to view and add campaign members
  • ✅ Ensure campaign is saved before adding members
  • ✅ Try refreshing the page and attempting again
❌ Billing Wizard Not Available

Problem: Cannot find or launch Billing Wizard

Solutions:

  • ✅ Confirm campaign type is set to "Billing"
  • ✅ Verify charge templates are added to campaign
  • ✅ Check that campaign has members added
  • ✅ Ensure you have billing wizard permissions
