  4. Set custom amounts and date ranges, then confirm billing

Create Membership Billing Cycle

This guide walks you through creating a new membership billing cycle, including campaign setup, charge templates, and billing wizard configuration.

Prerequisites​

  • Access to Financial Objects and Mass Billing Wizard
  • Permission to manage Campaigns and GAU Allocations
  • Knowledge of applicable GAUs (General Accounting Units)

Steps​

1. Create a New Campaign for the Billing Cycle​

  1. Click Campaigns
  2. Create a new campaign
  3. Set Campaign Name to reflect the upcoming membership year (e.g., 2025-2026)
  4. Set Status to Planned
  5. Set Start Date and End Date to match the billing cycle (e.g., July 1 to June 30)
  6. Set Type to Membership
  7. Add a Description (e.g., Membership Billing for Upcoming Fiscal Year)
  8. Save

2. Add Charge Templates (GAU Allocations)​

Repeat the steps below for each type of charge included in the billing cycle:

Membership Dues​

  1. Open Charge Templates
  2. Set GAU to the corresponding fiscal year
  3. Set Name to reflect the current cycle (e.g., Membership Dues)
  4. Description: Enter a clear label (e.g., Standard Membership Fee)
  5. Amount: Enter the full dues amount
  6. Save

Security Fees​

  1. Add new charge template
  2. Name: Security
  3. Description: Security Fees for Current Cycle
  4. Amount: Enter applicable security fee
  5. Save

Building Fee​

  1. Add new charge template
  2. Name: Building Fee
  3. Description: Building Fee for Current Cycle
  4. Amount: Enter applicable building fee
  5. Save

3. Use the Membership Billing Wizard​

  1. Open a member Account that you want to bill
  2. Click Membership Billing Wizard
  3. Select the appropriate fiscal year for billing
  4. Click Next

4. Set Billing Details​

  1. Enter a Custom Amount, use Default, Bill an Amount Based on Last Year, or Bill an Preset Amount Base don the Account
  2. Click Next
  3. Set Membership Start Date (e.g., July 1 of the current year)
  4. Set Membership End Date (e.g., June 30 of the next year)
  5. Confirm and click Next

5. Confirm Billing Plan​

  1. Click Confirm All
  2. Choose the appropriate billing plan (e.g., Monthly, Annual, or custom)
  3. Click Confirm and Proceed

6. Review Invoices​

  1. Open Membership Details from the Account
  2. Review generated Draft Invoices
  3. Validate line items and totals, and finalize as needed

Troubleshooting​

  • If custom amounts don’t save, verify field permissions
  • If no billing plan appears, confirm campaign dates and type
  • Use browser refresh or relaunch the wizard if needed
